Introduction

The Student Attendance System ("hdoorr.com") respects the privacy of its users and subscribing schools. This policy explains what data we collect, how we use and protect it, through both our website and the mobile app used by school gate staff/supervisors.

Who Uses This System

The system is intended for use by subscribing schools and their staff (such as gate supervisors) to record student attendance. The app is not used directly by students or parents.

Information We Collect

• Staff/Supervisor account data: name, email address, password (encrypted), and the school they belong to.
• Basic student data: name, grade/class, national ID or academic ID, and attendance records (date, time, and status), entered by the school within its own account.
• Face photos (optional): if a school enables the "Face Recognition" feature, a student's pre-registered photo is used to match against a photo captured at check-in, solely for identity verification.
• Student QR code: a unique identifier per student used to record attendance via camera scan.
• Limited technical data: device type and name, used only to manage login sessions.

How We Use This Information

• Recording student attendance/absence and verifying identity at check-in.
• Providing attendance reports to the school to track its students.
• Securing accounts and preventing unauthorized access.

We do not use student data or photos for any marketing purpose, and we do not sell or share them with any third party for advertising purposes.

Sharing Data with Third Parties

We do not share student or staff data with any external party, except infrastructure/hosting providers necessary to operate the service (e.g., server hosting), who are bound to protect the data and not use it for any other purpose. We may disclose data if required by law or a valid legal order.

Data Security

We use encrypted connections (HTTPS) for all data transmitted between the app and our servers, and store passwords in a hashed, non-recoverable form. Access to each school's data is restricted to that school's own accounts only (full data isolation between schools on the platform).

Data Retention and Deletion

Data is retained for as long as the school's subscription remains active. A gate supervisor/staff member can permanently delete their own account at any time from within the app (Profile → Delete Account), after which their account data is deleted immediately. To delete a specific student's data or terminate a school's subscription entirely, the school's administration may contact us directly.

Children's Privacy

The system processes student data (who may be minors) as a tool fully managed by the school, which is responsible for entering this data and obtaining any necessary consent from parents under its own internal policies. The app does not collect any data directly from students, nor do students have access to it.
